General questions about Meine-Medizindaten

Meine-Medizindaten is a web portal that allows medical specialists to give their patients and referring physicians secure access to medical data such as X-ray, CT, or MRI images.

To access their personal medical image data, patients or referring physicians receive an individual link or QR code from the medical practice that generated the images. After entering an individual password as a second authentication factor, the images can then be viewed and downloaded.

An image exchange portal allows doctors to share medical images with their patients digitally, thereby replacing patient CDs or DVDs, for example.

The Meine-Medizindaten portal is operated by the software company Telepaxx Medical Data. For over 25 years, the company has specialized in storing medical image data securely on behalf of hospitals and medical practices and making it available to patients.

Questions about sharing DICOM data

Patient CDs are costly to produce, outdated, and also unsafe if they fall into the wrong hands or get lost.

QR codes are a modern way to share DICOM data with patients and referring physicians via the Internet. By encrypting the data, QR codes are more secure than patient CDs and also more cost-effective, as no additional hardware needs to be purchased and maintained. In addition, neither the patient nor the referring physician needs special software or a CD drive to view and download the medical image data. This improves the patient experience and makes it easier for referring physicians to work with your practice.

At Meine-Medizindaten, we use a multi-level encryption process when storing data. These encrypted image data can only be accessed after two-factor authentication using a patient-specific access code and password.

In addition, the cloud solution behind Meine-Medizindaten has a C5 certificate from the German Federal Office for Information Security. High security standards must be met as part of the certification process. Further information on the C5 certificate can be found here.

You can send the QR code and web link to the patient in various ways, e.g., by printout/letter, by email, or alternatively via a patient portal. We recommend communicating the password separately from the QR code/web link.

The QR code solution and image transmission software behind Meine-Medizindaten is compatible with all common PACS and RIS/KIS systems. In addition, QR codes and web links can also be generated for patients directly via the associated web portal, independently of any specific practice software.

It is not necessary to install software on individual workstations, as the image transmission software is operated as a software-as-a-service solution from the cloud. You can access the web portal from any computer with internet access and create QR codes/web links.

QR codes/web links can be generated from the web interface together with a password or directly from the practice software (e.g., PACS, RIS/HIS) using a predefined trigger.

Referring physicians and institutions, like patients, can access the data via the Meine-Medizindaten web portal (www.mmd-portal.de).

Data is accessed by entering the QR code/web link and the corresponding password as a second authentication factor.

No, a special user account is not required. Patients and referring physicians can access the Meine-Medizindaten web portal from any Internet-enabled device and view and download the image data after entering their access code and password.

You can share medical image data in DICOM format and PDF documents with patients and referring institutions via the My Medical Data portal.

The duration of availability is determined individually by the image-generating institution. By default, access to patient images via QR codes or web links is usually limited to 90 days.

Yes, because at Meine-Medizindaten, data downloads are generally and exclusively generated in accordance with the DLX standard.

DLX stands for DICOM Link Exchange and is a standardized format for downloading medical image data from QR codes and web links.

This is intended to simplify the further processing of image data from patient portals in the healthcare sector, regardless of which portal provider generates the QR code or web link.

Yes, you have the option of downloading the DICOM data stored in the Meine-Medizindaten portal in accordance with the DIN DLX standard. This simplifies the further processing and communication of data for you, but also for downstream institutions or referring physicians.

Images can be viewed via an integrated web viewer on the My Medical Data web portal. However, this viewer is not approved for diagnostic purposes.

For diagnosis, we offer a certified DICOM viewer that can also be integrated into the web portal as an option, for example to enable diagnosis at other locations or to provide referring physicians with a PACS viewer that is approved for diagnostics.

Questions from referring physicians

You have two options for accessing the medical images of a patient you are treating:

  1. Via the individual access link
    Die Arztpraxis, die die bildgebende Untersuchung Ihres Patienten durchgeführt hat, übermittelt Ihnen einen Zugangslink. Dieser kann Ihnen per (eArzt)-Brief, E-Mail oder QR-Code bereitgestellt werden – direkt an Sie oder durch den Patienten. Wenn Sie diesen Link anklicken oder in einen Internetbrowser händisch eintippen, wird eine personalisierte Website von Meine-Medizindaten aufgerufen.

    Um die Bilder des Patienten abzurufen, müssen Sie in der Eingabemaske noch das persönliche Passwort eingeben. Dieses erhalten Sie ebenfalls von der Arztpraxis, in der die Untersuchung durchgeführt wurde.

  2. Via the website www.mmd-portal.de

No, registration is not required.

To view your patient's examination images, all you need to do is enter a password as a second factor after calling up the individual access link. This confirms that you have the necessary access rights to the image.

To download images of a jointly treated patient, you must first authenticate yourself via the input mask at www.mmd-portal.de.

  1. To do this, click on the web link provided or enter the patient's access code in the input mask.
  2. Then enter the corresponding password as the second factor for authentication. You will receive the access code and the second factor either from the image-generating institution or from the patient themselves.
  3. After logging in, you will see the available images and findings in a worklist. Select which images and findings you want to download.
  4. Then click on the “Download” button above the worklist.

The images are now downloaded as a zip container in DLX standard and can be further processed in your practice systems after unpacking on your computer.

The doctor's practice in which the image was taken decides whether a report is also stored in Meine-Medizindaten in addition to the medical images.

Some doctors upload the findings as a PDF file immediately or after a delay (e.g., 24 hours after the examination), while others only send the findings by (e-doctor) letter to the referring doctor's office.

If you do not see any images or findings after entering the access code or clicking on the access link and entering the password, please contact the doctor's office where the examination was performed. It is possible that the images have not yet been uploaded to the portal or have not been uploaded correctly.

No, no additional software is required to access image data for a jointly treated patient via the Meine-Medizindaten portal.

The data can be accessed directly via a standard web browser on an Internet-enabled device such as a PC, laptop, or tablet using the login details provided (access code and password).

After successful authentication, a new window will automatically open in your browser displaying the images. Please note that the standard integrated viewer is not approved for diagnostic purposes. transmitted access data (access code plus password).

Optionally, the image-generating facility can also provide you with a medical viewer via the portal – however, this must be integrated separately by the image-generating facility.

All images downloaded via the Meine-Medizindaten portal are provided as zip files in accordance with the DLX standard to ensure easy processing in the practice systems used.

The DLX-standardized zip container contains the DICOM files in their original size and is therefore also suitable for diagnostic purposes.

This is defined individually by the image-generating facility. By default, access to patient images via QR codes or web links is usually limited to 90 days.

We therefore recommend that referring institutions download the data for further processing in their practice systems. The QR code/web link is intended as a medium for image transmission, not for image archiving.

The Safari browser partially blocks pop-ups. In this case, the images cannot be displayed.

You can fix this error yourself by changing the settings:

  1. Open the Safari browser
  2. Go to “Settings.”
  3. Navigate to “Website” and select “Pop-up window.”
  4. Change the setting for the entry “www.mmd-portal.de” to “Allow.”

The image should now be displayed.

Questions about data protection

Yes, patient data is protected and stored in encrypted form in the Meine-Medizindaten online storage system. Only patients and the referring physician can access the data after entering their individual access code and password.

The Meine-Medizindaten portal and the underlying TMD Cloud software solution from Telepaxx also meet the security standards of the German Federal Office for Information Security (BSI) thanks to their C5 certification. As part of this certification process, checks were carried out to ensure that the portal implements certain security measures to protect patient data in the best possible way.

As soon as the browser window displaying the medical images is closed, the respective user is automatically logged out.

If the patient or referring physician wishes to view the images again, they must re-enter their individual access code and password. This prevents persons without access authorization from accessing the image data.

By storing image data in encrypted form, the Meine-Medizindaten portal complies with the data processing requirements set out in the General Data Protection Regulation (GDPR). Encryption also ensures that no personally identifiable data is processed in the cloud. Meine-Medizindaten therefore meets the highest data protection standards and is more secure than, for example, patient CDs or sharing data via email.

As a German software provider, data protection is a key concern for us. That is why we store data exclusively on servers in Europe in accordance with the GDPR. 

In addition, the data is encrypted before being stored on the server and can only be read again using the corresponding key. This key for decrypting the image data is stored on a separate server located in Germany.

This procedure ensures that image data is protected in the best possible way and in compliance with legal requirements.

In general, patients must be informed by the doctor's office about the respective data protection guidelines of the practice in accordance with the GDPR and must accept these guidelines.

The use of cloud software for image transmission should therefore be listed in the practice's privacy policy, and the purposes of data processing should be described in a way that is understandable to the patient.

Questions about the technical requirements

To view patient images via the My Medical Data portal, all you need is an internet-enabled device (computer, tablet, smartphone), a working internet connection, and a browser (e.g., Chrome, Safari, Edge) to access the link.

Accessing images via the My Medical Data web portal works with most common browsers in the latest versions - for example Google Chrome, Mozilla Firefox, Safari or Microsoft Edge.

We recommend the use of the latest generation of Internet browsers.

If necessary, update your browser by checking for updates in the browser settings and carrying them out.

Note: When using Safari, problems may occasionally arise when loading images because pop-ups are blocked. In this case, please adjust the settings in the Safari browser as follows: 

  1. Open the Safari browser and go to “Settings.”
  2. Navigate to “Website” and select “Pop-up window.”
  3. Change the setting for the entry “www.mmd-portal.de” to “Allow.”

The image should now be displayed.

You can access patient images either via a computer such as a laptop or via a mobile device such as a tablet or smartphone.

As the Meine-Medizindaten portal is based on the HTML5 programming language and runs directly in the Internet browser, the iOS (iPhone, iPad etc.) and Android (e.g. Samsung Galaxy) operating systems are supported for mobile devices.

All you need is an up-to-date Internet browser on your mobile device and a working Internet connection.
